Introducing the revolution in the tenant experience
Project Overview
If you work in the real-estate sector, probably you've had a chance to come across a tenants’ or buildings’ manuals. Probably you’ve noticed that they tend to be overcomplicated, ugly, off-putting and understandable only for those who have extensive technical knowledge.
Over the time, working in the sector, we saw the attempts to create more user-friendly manuals. However, in most cases, they are very general and treated more as a side project, not as an asset which can significantly improve the tenants’ experience.
We believe that an office is no different than any other product, such as a car or a computer. Users’ must get familiar with the details to be able to take advantage of its features at full.
The idea of proper, user-friendly, clear and modern manuals for office tenants has been on our radar for many years, however it was hard to convince somebody to do it, since it's quite a challenging and time consuming endeavour. Until we started to talk to our long-time client, Globalworth.
Globalworth is the office market leader with over 60 properties in their Polish & Romanian portfolio. And they are always on the lookout for new ideas on how to enhance the experience of their tenants. Also, they are always up to new challenges.
Fast forward a few months and we are happy and proud to present the user manuals system which is revolutionising the office experience for Globalworth tenants.
This is the first time such a project is done on such a scale and with such an in-depth understanding of the office buildings.

Enhanced User Experience
The main goal of creating user manuals for office buildings is obviously enhancing the user experience of its tenants, but there is more to it. The list of benefits goes on.

What is covered
A Tenants’ Manual is a complete wiki page about a particular building. It covers all the aspects important to individual users in a simple & understandable manner. There are some aspects which are specific to each building, however some sections are the same to every project.
The extensive project section explains general things about the project, such as history, how the floor layouts work & gives a sneak peek into the neighbourhood.
The amenities section it has knowledge base on the project’s services. How they work, what are the rules of usage, etc.
The access section covers all things related to accessibility sorted by the modes of transportation.
The manual includes comprehensive guidelines for delivery services and couriers.
It also includes information on sustainability, safety, thermal comfort, step-by-step guide of moving in for the first time and more.
The key goal is to serve the information in a simple and user-friendly manner. Visually and language wise.
Added Value
We treat the Tenants’ Manuals as an additional amenity in each project. Ultimately, as any amenity, it makes tenants' lives easier. It helps the users throughout the whole experience with the office building. It makes moving in simpler by reducing the hassle with the amount of information you have to intake when discovering the new office. It assists tenants everyday by providing every detail related to the building in a simple, easy to digest manner. Additionally, the Tenants’ Manuals can make a small contribution in increasing the value of your property.
Marketing Angle
One of the factors which was very important for us is the marketing value of our Manuals. In a market where everybody is looking to differentiate themselves, these Manuals can play an important role in making your project stand out.
This is the marketing we deeply believe in. Instead of empty slogans and flashy graphics, we prefer to bring real value to the clients and make the product (building) better.
Getting technical
This project was also a big technical challenge. We had to figure out how to approach the scale. Globalworth's portfolio is huge. The Tenants’ Manuals must be kept up to date at all times. In the future, we might need to create updates to the manuals of all buildings. When you deal with one building that’s easy. Dealing with over 60 buildings can be a major pain in the butt.
Together with the client, we opted for simplicity. We decided to use the WordPress Multisite environment. That’s how we made sure that we can approach the content of each manual individually, and at the same time roll out major functionality updates or graphic changes to all manuals at the same time when needed.
As a result, we’ve built a flexible, easy-to-use system, which can be managed by us or by anybody at Globalworth, regardless of their technical skills.
Launch Campaign
Once the project was completed, we had to communicate it to the tenants. We created a witty awareness campaign and materials which were distributed in each building. We targeted the tenants at the entrances to the building and lift lobbies. Additionally, we used the mirrors in the lifts and public toilets to communicate the what they may learn from the manual. For each sticker, we used easy-to-use QR codes directing tenants to a particular page of the manual.
Last but not least
After endless hours, days, weeks and months of digging through the deepest corners of each of our clients' buildings, we can say that we know absolutely everything about our clients’ portfolio.
This project helped us to understand and explore the buildings we worked on for many years from an entirely different perspective.
We gained an amazing advantage for the future. With such an in-depth knowledge of all the assets, we will be better at proposing efficient advertising and communication for them.
